Acceptance of terms
By accessing regionalaisummit.com, creating a registration, or completing a payment for Regional AI Summit 2.0 event, you agree to be bound by these Terms & Conditions. If you are registering on behalf of a team, college, or organisation, you confirm you have the authority to accept these terms for every member you register.
If you don't agree with any part of these terms, please don't complete your registration.
Eligibility
Regional AI Summit 2.0 is open to students, professionals, and enthusiasts as specified for each individual event track. Some tracks may carry additional eligibility conditions, such as team-size limits or student-status verification; these are listed on the respective event's registration page and take precedence over general terms where they differ.
- Participants under 18 years of age must have a parent or guardian's consent to register.
- One registration corresponds to one individual or one team, as applicable to the event type; duplicate registrations for the same person in the same track may be cancelled without refund.
- We reserve the right to verify eligibility details and to cancel a registration that does not meet the stated criteria.
Events & registration
RAS 2.0 comprises five event tracks. Each track has its own schedule, format, and submission requirements, published on the Events page at the time of registration.
A registration is only confirmed once payment (where applicable) is successfully processed and a confirmation email with your registration ID and invoice has been sent. Slots for each track are limited; we don't guarantee availability until confirmation is received.
You are responsible for the accuracy of the details you submit at registration, including name, email, phone number, and team information. We are not liable for missed communication caused by incorrect contact details.
Fees & payment
Registration fees vary based on the selected event track and applicable registration category. The applicable registration fee will be displayed on the Registration page and confirmed at checkout before payment.

All payments are processed through Razorpay. We don't store your card, UPI, or net-banking credentials on our servers; Razorpay's own terms and security practices govern the handling of your payment instrument. A successful payment triggers an automated confirmation email with a PDF invoice; if you don't receive this within a reasonable time, contact us using the details in Section 15 before attempting a second payment.
Cancellations & refunds
Registration fees are generally non-refundable once payment has been successfully completed, as event slots and resources are reserved based on confirmed registrations. Refunds, if any, will only be considered under the circumstances outlined below.
- A duplicate or erroneous payment for the same registration, verifiable on our records.
- Cancellation of an entire event track by the organisers, in which case registered participants for that track will be offered a refund or a transfer to another track of equal value.
- Any other exceptional case may be considered at the organisers' discretion upon receipt of a written request submitted through the contact details provided in Section 15.
Where a refund is approved, it will be processed to the original payment method through Razorpay, typically within 7–10 business days, subject to your bank or payment provider's own processing timelines.
Entries & submissions
Tracks such as the Hackathon, AI Film Fest, AI Brand Ads Challenge, and Student Startup Pitching require you to submit original work for evaluation. By submitting an entry, you confirm that:
- The submitted work must be original and created by the participant or team. If any third-party content is included, the participant or team must have the necessary rights or permissions to use and submit it.
- It does not infringe the intellectual property, privacy, or other rights of any third party.
- It complies with the format, duration, and content guidelines published for that specific track.
We reserve the right to disqualify an entry that breaches these conditions, without refund of the associated registration fee, and to request supporting proof of originality at any stage of judging.
Intellectual property
Participants retain ownership of their original submissions. By submitting an entry, participants grant the organisers of Regional AI Summit 2.0 (RAS 2.0) a non-exclusive, royalty-free licence to use, display, publish, and promote the submission for event-related and promotional purposes, with appropriate credit wherever practicable.
All RAS 2.0 names, logos, branding, and event materials are the intellectual property of the organisers and may not be used or reproduced without prior written permission.
Code of conduct
All participants, mentors, judges, speakers, volunteers, and attendees are expected to maintain respectful and professional conduct throughout the event. Harassment, discrimination, plagiarism, misconduct, or disruptive behaviour will not be tolerated and may result in disqualification, removal from the event, or restriction from future editions, at the organisers' discretion.
Media & publicity consent
Registering for or attending an RAS 2.0 event means you consent to being photographed, filmed, or recorded, and to that material being used in event highlights, social media, and future promotional content. If you would prefer not to appear in published media, you may notify the organising team in writing before the event.
Liability & disclaimers
RAS 2.0 events are organised in good faith with reasonable care for schedule, judging, and venue arrangements, but are provided on an "as is" basis. We don't guarantee uninterrupted access to the website, error-free scheduling, or specific outcomes from participation (such as prizes, mentorship, or placement opportunities).
To the extent permitted by applicable law, the organisers are not liable for indirect, incidental, or consequential loss arising from your participation, travel, or reliance on information published on this website, beyond the value of the fee you paid for the relevant event.
Force majeure
If an event is postponed, moved online, or cancelled due to circumstances beyond our reasonable control - including but not limited to natural disasters, government restrictions, venue unavailability, or public health emergencies - we will make reasonable efforts to notify registrants and offer a rescheduled date, an online alternative, or a partial credit, as appropriate to the circumstances.
Privacy
Information you provide at registration (name, contact details, team information, payment records) is used to process your registration, communicate event updates, and generate invoices. We don't sell your personal information to third parties. Payment data is handled directly by Razorpay under its own privacy and security practices.
Venue & entry guidelines
The following apply to any in-person session at a Regional AI Summit 2.0 venue, in addition to the terms above:
- Entry is allowed only with a valid registration confirmation.
- Please carry a government-issued ID proof for verification.
- Entry will not be permitted 30 minutes after the session begins.
- Event passes are non-refundable and non-transferable.
- Photography and videography may be conducted during the event.
- The organiser reserves the right to make schedule or speaker changes if required.
- Food and beverages will be served only in designated areas.
Changes to these terms
We may update these Terms & Conditions from time to time to reflect changes in our events, fees, or legal requirements. Continued use of the website or participation in an event after an update constitutes acceptance of the revised terms.
